We are seeking a Patient Service Representative (PSR) to join our team. You will play a crucial role in providing exceptional customer service and administrative support at our rehabilitation clinic's front office. The PSR serves as the first point of contact for patients, visitors, and healthcare professionals, ensuring a positive experience and efficient operations.

How you will make an impact

  • Greet patients and visitors warmly and professionally upon arrival.
  • Verify patient information, including insurance details, and ensure accuracy of records.
  • Assist new patients with completing registration forms and obtaining necessary documentation.
  • Schedule patient appointments and coordinate with clinical staff to ensure efficient patient flow.
  • Confirm upcoming appointments with patients and provide necessary instructions.
  • Handle rescheduling and appointment cancellations as needed.
  • Verify insurance coverage and eligibility for patients and inform them of any financial responsibilities.
  • Explain insurance policies, co-pays, and billing procedures to patients.
  • Maintain and update patient records, ensuring completeness and accuracy.
  • Safeguard patient confidentiality and adhere to HIPAA regulations when handling patient information.
  • Manage incoming phone calls, direct inquiries to the appropriate staff, and provide information as needed.
  • Handle patient inquiries and concerns professionally and empathetically.
  • Manage incoming and outgoing mail and ensure proper distribution.
  • Collect co-pays and fees from patients and provide receipts.
  • Maintain accurate records of payments received and balance the daily cash drawer.
  • Assist with administrative tasks such as filing, scanning, and data entry.
  • Support the clinic staff in maintaining a clean and organized front office environment.
  • Provide patients with information regarding clinic policies, procedures, and resources.
  • Offer guidance on completing necessary forms and documentation.

What we are looking for

  • High school diploma or equivalent; additional education or training in healthcare administration is a plus.
  • Previous experience in a healthcare or medical office setting preferred.
  • Excellent interpersonal and communication skills.
  • Proficiency in using office software, including word processing and spreadsheet applications.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
  • Empathetic and customer-oriented attitude.
  • Knowledge of medical terminology and insurance verification processes is beneficial.
  • This position operates in a clinic environment.
  • Regular office hours with occasional evenings or weekends may be required.
  • The PSR may need to stand, sit, or walk for extended periods and occasionally lift and move light objects.
